Do you provide administration support?

Yes our onsite support team will ensure your room is set up exactly how you need it so you can focus on work.

We can also provide any secretarial or business support that you might need. So if you'd rather leave the conference minutes to someone else or need some last minute photocopying done we're here to help.  We’ll also greet your guests, print, bind and laminate documents, take phone messages and organise couriers and taxis.

What sort of equipment do you provide?

You’ll find some complimentary pieces of equipment already available in our rooms - a flip-chart, white board and TV/Video/Projector. We also have a full range of AV equipment to choose from including LCDs, plasma screens, laptops, internet access, conference phones and video conferencing. Our IT is top level and it won’t let you down. 

What sort of catering do you offer?

Whether you need breakfast, lunch, afternoon tea or just some biscuits to go with your coffee we can arrange it. And you’ll get free still and sparkling water.

Here’s a sample lunch menu:

  • Honey, ginger, lime & soy chicken skewers and an oriental mayonnaise
  • Tarragon crusted salmon bites with a tarragon dip
  • Mini vegetarian spring rolls with a sweet chilli dipping sauce (v)
  • A selection of premium sandwiches including meat, fish and vegetarian options
  • Freshly baked speciality breads and wraps with gourmet fillings
  • Tropical fruit platter

Here are some of the other available options: 

  • Breakfast, afternoon tea, sandwich lunch, fork buffet, cold canapés
  • We can also cater for special dietary needs such as gluten-free, lactose-free and vegan diets.

Day delegate packages come with set menus although you can add to these at additional cost.

Do your rooms have natural daylight?

About 90% of our rooms have natural daylight. If this is a priority please check with your booking executive. 

Do your rooms have air conditioning?

Yes. All our rooms have air conditioning.

Do you have sufficient parking?

Our venues either having their own car park or are very close to an NCP car park.  Our venues are also easily accesible by rail or tube.

Where are the meeting rooms and are they all the same?

We have over 30 meeting venues across the UK, 18 of which are in London.  All our meeting rooms are located close to public transport. And all have brigh, comtemporary furnishings and provide consistently high service.

What room options do you offer?

We can offer the flexibility of boardroom, theatre, classroom, u shaped or cabaret style. More about room layouts.

What rates do you offer?

We are flexible and offer booking by the hour, half-day and full day. Rates depend on the size of room, the length of the booking and the location. We also offer all inclusive day delegate packages.  More about prices.

How do I make a booking?

Simply call our Central Reservations Office on Freephone 0808 100 1800 and the team will be able to deal with your enquiries.  Alternatively you can email us on info@mwbex.com or make an online reservation.

How do I pay?

Full payment for meeting room hire is required in advance of the booking. You can pay by credit / debit card , cheque or bank transfer. An invoice can be raised to provide documentation.  Once you have made a booking, you will receive a confirmation email which includes the date by which we need to receive your payment. To invoice in arrears, we need a direct debit agreement.

Do you take provisional bookings?

Yes.  We are happy to take provisional bookings. However we reserve the right to market the room until you have confirmed your booking.  

How do I confirm a booking?

To confirm a booking simply contact us by email or phone on Freephone 0808 100 1800 with a request to confirm your booking and our dedicated team will be happy to help.

If I book the room hire only what do I get?

Standard room hire bookings include complimentary still and sparkling water as well as equipment such as flipchart, paper and whiteboard, notepads and pencils. You can then add on extra equipment and catering should you need it.

What does the day delegate package include?

The day delegate package includes room hire, a working lunch, three servings of tea, coffee and biscuits throughout the day, still and sparkling water, a flipchart and whiteboard, notepads and pencils.

What does the half day package include?

The half day delegate package includes breakfast on arrival or lunch or afternoon tea depending on whether you book the morning or afternoon slot.  A serving of tea, coffee and biscuits is also provided as well as still and sparkling water, a flipchart and whiteboard.

What are your cancellation terms?

If you cancel the booking you are liable for the payment of a cancellation charge as follows.

100% cancellations charge is applicable for cancellations made within the following time periods:

0-6 delegates = 0-5 working days notice
7-15 delegates = 0-10 working days notice
16+ delegates = 0-20 working days notice

Cancellation charges apply to total booking value, to include room hire, pre-booked catering and equipment costs.
